1. Who we are and what this policy covers

Hellebrand Technologies, LLC (“Hellebrand,” “we,” “us” or “our”) provides software development, AI, automation and technology services. This policy explains how we handle personal information collected through hellebrandtech.com and related sales, demo and business inquiries.

This is the privacy policy for our public business website. It does not replace the agreements or privacy notices that apply to Vantis, Verifi365, Relay or services operated for a customer. When we process information on a customer’s behalf, the applicable service agreement and the customer’s instructions govern that processing. Please direct a request about a screening report, employment application or customer account to the organization responsible for that information. We can help identify the appropriate contact.

2. Information we collect

Information you provide. When you contact us, we collect your name, email address, message and any company name, service interest, phone number or other information you choose to provide. We also receive the contents of subsequent business communications. The website records the privacy notice version and time associated with a submitted inquiry.

Technical information. Our website and hosting providers may process your IP address, browser and device information, requested pages, referring page, timestamps, request status and error information to deliver and protect the site. Temporary rate-limit information helps prevent spam and abuse.

Please send only the information needed to explain your business inquiry. Do not use the public form to send Social Security numbers, passwords, payment-card information, medical records, screening reports or other sensitive personal information. The form does not accept attachments.

3. How we use information

We use inquiry information to respond to you, understand your requirements, arrange a conversation or demonstration, prepare a proposal and maintain relevant business communications. We use technical information to operate, troubleshoot and secure the website, prevent abuse and investigate delivery failures. We may also use information to comply with legal obligations, maintain necessary business records and establish or defend legal claims.

Submitting the form does not subscribe you to a newsletter or authorize unrelated promotional campaigns. The checkbox concerns handling your inquiry; it is not authorization to conduct a background check or permission to sell your information.

The contact form does not automatically send your message to an AI model. In subsequent business correspondence, we may use business tools with AI-assisted features to help organize information or prepare responses. People remain responsible for our communications. Please tell us if your inquiry requires a specific confidentiality arrangement before sending confidential material.

4. When we disclose information

We disclose information as needed to service providers that help us host and secure the site, deliver email, manage business communications and provide professional services. These include our hosting provider and Microsoft 365 for business email. Providers receive the information needed for their role, subject to applicable contractual and legal requirements.

We may disclose information when required by law or valid legal process, to protect rights or safety, to investigate fraud or security incidents, or in connection with a proposed or completed business transaction such as a merger or asset transfer, with appropriate protections. We may also disclose information at your direction.

We do not sell personal information collected through this website or share it for cross-context behavioral advertising. We do not place advertising-network trackers on this website.

5. Cookies, tracking and external links

This marketing website does not use advertising cookies, visitor analytics, session-replay tools or embedded social-media trackers. Its fonts and visual assets are served with the site. Hosting and security infrastructure may use technical information or necessary cookies to deliver and protect the service. You can manage cookies through your browser settings.

Do Not Track and Global Privacy Control. The site does not track your activity across other websites for advertising. Do Not Track signals do not change its operation. Because we do not sell or share website information for behavioral advertising, there is no such activity for a Global Privacy Control signal to opt out of. We will honor applicable opt-out requirements if our practices change.

Links to LinkedIn, product sites or other external services take you to services governed by their own privacy notices. Those services may collect information when you visit them. We do not control their practices.

6. Data retention

We retain information for as long as reasonably necessary for the purposes described in this policy. For inquiries and correspondence, we consider whether the inquiry is active, whether it develops into a customer relationship, the need to retain a record of our communications, and applicable legal, accounting or dispute-related obligations. Technical records are retained according to operational and security needs and the applicable provider’s retention settings.

When information is no longer needed, we delete it or de-identify it, subject to legitimate retention requirements. Copies in backups may remain until the normal backup cycle expires and are not used for new purposes. You can contact us to request deletion; we will explain any applicable limitation.

7. Security

We use reasonable administrative, technical and organizational safeguards appropriate to the information and its use. These include encrypted transport, access restrictions and measures to prevent misuse of the contact endpoint. No website, email system or method of storage can be guaranteed completely secure. Contact us if you believe information you sent through this site has been compromised.

8. Your choices and privacy requests

You may choose not to submit information, use email instead of the form, or ask us to stop nonessential follow-up. You may contact us to request access to, correction of or deletion of your personal information. Depending on your location and applicable law, you may also have rights to obtain a copy, restrict or object to processing, withdraw consent where processing relies on consent, appeal a decision or complain to a supervisory authority.

We may need information reasonably necessary to verify your identity or an authorized representative’s authority before disclosing or deleting records. We will respond within the time required by applicable law and explain any exception or restriction. We will not discriminate against you for exercising applicable privacy rights.

Where European or UK data-protection law applies, our legal bases may include taking steps at your request before entering a contract, performing a contract, our legitimate interests in responding to business inquiries and operating a secure website, compliance with legal obligations, or consent where required. Withdrawing consent does not affect earlier lawful processing or processing based on another applicable legal basis.

9. Where information is processed

We are based in the United States. Information may be processed in the United States and in other locations where our service providers operate. Privacy laws may differ from those where you live. Where applicable law requires safeguards for a cross-border transfer, we will use the safeguards required for that transfer. Contact us for information relevant to your inquiry.

10. Children

This website is intended for adults making business inquiries and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided such information, please contact us so we can take appropriate action.
